Massive production companies have long married themselves to venues, establishing relationships with hotel chains and placing satellite offices in each venue that they serve in-house. The basic idea is simple, an event planner books space in the hotel, the hotel then refers that client's audio visual needs to the in house agent of the production company. The thought is that the hotel is providing a valuable service by providing this for you in one bill. The issue is that you end up being severely overcharged and, often, underserviced.
These in-house companies often have much more expensive overhead because they are required to keep offices and equipment in the hotel at premimum rent. Furthermore, the hotel often requires a commision from each A/V sale (typically 15%-35% of the total A/V order). These extra costs get passed on to you.

Controlling A/V Costs On an Event
Anyone who says that money is no object is probably not responsible for sticking to a budget. Special events can get extremely pricey if you are not careful, or if you don’t know what you are truly looking for. It is easy to spend lots of extra money on services that sound good, but are entirely unnecessary. One of the easiest ways to be nice to your budget is to control your audio-visual costs.
Most presentation services companies insist on having multiple technicians on show sites. While that may make you feel better in the sense that there are more technicians around should one be needed, you have just doubled your effective labor cost for that event. Another common problem is that presenters often overestimate their technical support needs, simply from being unfamiliar with the venue or uninformed about the size of the crowd. Presenters have been known to request full-scale audio systems for a room no bigger than a classroom. Poor scheduling of presentations also increases cost: by not considering specific AV needs for each presentation, meetings, conferences, and other gatherings, presentations needing similar equipment may be booked concurrently, thus adding to your cost by having to rent extra equipment.
