Why Do In-House Companies Charge So Much?
Massive production companies have long married themselves to venues, establishing relationships with hotel chains and placing satellite offices in each venue that they serve in-house. The basic idea is simple, an event planner books space in the hotel, the hotel then refers that client's audio visual needs to the in house agent of the production company. The thought is that the hotel is providing a valuable service by providing this for you in one bill. The issue is that you end up being severely overcharged and, often, underserviced.
These in-house companies often have much more expensive overhead because they are required to keep offices and equipment in the hotel at premimum rent. Furthermore, the hotel often requires a commision from each A/V sale (typically 15%-35% of the total A/V order). These extra costs get passed on to you.
In House companies and hotel staff will try to sell their services to you on the basis that it is more convient to use the in-house services. What could be more convienent than giving Staged Right a call. In-house companies will often tell their potential clients that they have an advantage by knowing the facility better than anyone, this is nonsense. Staged Right's crew have worked in nearly every ballroom and meeting room in Maryland, DC and Virginia. Our crews have exclusive access to one of the largest databases of facility schematics and insider details. Staged Right is more than qualified to insure your event goes off without a hitch.

Controlling A/V Costs On an Event
Anyone who says that money is no object is probably not responsible for sticking to a budget. Special events can get extremely pricey if you are not careful, or if you don’t know what you are truly looking for. It is easy to spend lots of extra money on services that sound good, but are entirely unnecessary. One of the easiest ways to be nice to your budget is to control your audio-visual costs.
Most presentation services companies insist on having multiple technicians on show sites. While that may make you feel better in the sense that there are more technicians around should one be needed, you have just doubled your effective labor cost for that event. Another common problem is that presenters often overestimate their technical support needs, simply from being unfamiliar with the venue or uninformed about the size of the crowd. Presenters have been known to request full-scale audio systems for a room no bigger than a classroom. Poor scheduling of presentations also increases cost: by not considering specific AV needs for each presentation, meetings, conferences, and other gatherings, presentations needing similar equipment may be booked concurrently, thus adding to your cost by having to rent extra equipment.
Staged Right can help you get all of your A/V needs under control without breaking the bank. Our company is very familiar with most of the meeting venues in the area, and we can work with your presenters to determine the equipment they need to present appropriate to the size of the room in which they are speaking. In addition, we welcome receiving electronic copies of presentations ahead of time. Not only does this allow us to perform trial run of the presentation to make sure everything is in working order, but it eliminates the need to have additional technicians on-site to manage and organize the presentation order – this is particularly helpful in situations where there is more than one person presenting. Finally, Staged Right can work with you to plan your agenda so that seminars requiring similar technical setups are scheduled in such a way that the equipment is available to them at their allotted time, saving you the cost of renting extra equipment. Let us help you make your next meeting a success, without failing your budget.
Meetings are not always as simple as they used to be. Sometimes a boardroom and conference table isn’t enough. When this happens, call Staged Right. Not only will we find you a suitable location to convene, but we will take care of all your technical needs, as well. Presenting on Power Point? No problem. Addressing the entire company? We’ve got an audio system just right for you. We will work with you from the very beginning to make sure we are arranging the meeting you’ve envisioned.
